Electronic Research Administration Systems

Most external sponsors have converted to on-line systems for proposal submission, funding notification, and administration of awards. This process is called Electronic Research Administration (ERA). Campus-wide ERA systems are administered centrally by the Division of the Vice President for Research.


Electronic Proposal Submission

Most government agencies and private organizations utilize online electronic grant submission systems for proposal submission. Some of the agencies allow self registration, while some have restricted access. In many cases your college's sponsored programs office will be assist you with registration. 

 

**PLEASE NOTE: In accordance with OSU policy, before submission, all proposals must be submitted by the college's sponsored programs office -- after necessary routing for review and approval is complete. (This means: While you may be able to self-register, you CANNOT self-submit.)

 

  • Agencies that allow self-registration: National Science Foundation (FastLane); grants.gov (various systems); National Aeronautics and Space Administration (NSPIRES).
    • You will associate to "Oklahoma State University - Stillwater". An automated email will be sent to research@okstate.edu. After verification is completed with your respective college's research office, approval will be given.
  • Contact your college's sponsored programs office for registration with these agencies (systems):  Department of Energy (DoE, multiple systems); National Institutes of Health (NIH); Altum proposalCENTRAL; Oklahoma Arts Council; Oklahoma Grant Exchange (OGX).
  • Agencies with restricted systems, due to their inclusion of banking information: FEMA GO; GrantsOnline; GrantSolutions; Department of Justice (Just Grants).
    • For these submissions, the Authorized Organization Role (individual with authority to submit) will only be assigned to Central Sponsored Programs Administration. In order to maintain university information integrity, there will be no exceptions.
    • Notify Central Sponsored Programs Administration at research@okstate.edu NO LESS THAN 48 hours prior to required action deadline to ensure someone is available to complete the transaction. Office hours for completing these requests are Monday - Friday, 8:00 a.m. – 5:00 p.m.  For more information, please contact Melinda Wilson.
